What is utilization rate?

Utilization rate is the share of your working time that you bill. Divide billable hours by total working hours and multiply by one hundred. If you work 40 hours in a week and bill 26 of them, your utilization is 65 percent.

It is the single most useful number for anyone who sells time, because it separates two different problems. Low revenue with high utilization is a pricing problem: you are busy and underpaid. Low revenue with low utilization is a pipeline or admin problem: the rate is fine but the billable hours are not there.

What is a good utilization rate for a solo consultant or freelancer?

There is no universal number, and anyone quoting one as a benchmark is guessing about your business. What is true for everyone is that 100 percent is impossible. Selling, invoicing, learning, admin and the gaps between projects are all real work that nobody pays for directly.

A more useful approach is to measure your own rate for a month, decide what is realistic given how much selling and admin your practice needs, and set a target a few points above where you are. The calculator shows what those few points are worth in dollars, which is usually the most motivating number on the page.

How do you raise utilization without working more hours?

Start by tracking everything, billable or not, for two weeks. Most people discover the gap is not laziness, it is unbilled work: the fifteen-minute call, the revision that was never scoped, the hour of research done before the timer started. Capturing that time correctly raises utilization with zero extra hours worked.

Then look at the non-billable buckets. Admin that can be batched to one afternoon, proposals that could use a template, meetings that could have been a note. TimerMVP shows hours with money attached against hours without, by month, so the trend is visible rather than felt.

  • Start the timer before the work, not after, so the first ten minutes are not lost
  • Give every client a rate so unattached time stands out on the report
  • Review the week on Friday and move unbilled work onto the invoice while it is fresh
  • Batch admin into one block instead of letting it leak into every day

Measure it instead of estimating it.
